Ordering flowers in Poland is easier when you separate two decisions: what the florist should make, and how it will reach the right person. A beautiful product photograph does not settle the delivery address, recipient availability, substitutions or the final price. Those details matter especially when you are ordering from abroad or arranging a surprise in an unfamiliar city.

Look for kwiaciarnia, the Polish word for florist, and kwiaty z dostawą for flowers with delivery. This guide explains what to confirm before buying, using florists' published terms and UOKiK consumer guidance checked on 27 October 2026. The businesses are examples of different arrangements, not a ranked shortlist or a promise of current stock, prices or same-day availability.

Start with the occasion and the recipient, not a picture alone

Tell the florist what the flowers are for and where they will be used. A hand-tied gift bouquet, an arrangement for a table and flowers for a ceremony can require different preparation. If you do not know the exact Polish product name, describe the purpose and show a reference image. Ask the shop to confirm what it has understood before you pay.

Give useful preferences rather than relying on a long list of supposed national rules about colours or numbers of stems. Specify the recipient's favourite colours, flowers to avoid, scent preferences and any practical constraints. If the occasion is sensitive, ask the florist directly whether the proposed arrangement fits it. Personal knowledge of the recipient is more useful than an unverified etiquette shortcut.

Make clear whether the recipient has a vase and whether you need one supplied. Ask whether the pictured container, decoration or card is included. A photograph can show a styled example without answering those questions. For an event, confirm the intended position and approximate dimensions so that a tall arrangement does not arrive when you wanted something low enough for a dining table.

Compare like with like before judging the price

Ask what size or version the advertised price covers. If several options use the same photograph, find out what changes between them: stem count, flower types, dimensions or overall fullness. A budget is easier to interpret when you say whether it covers only flowers or the entire delivered order. Keep the distinction visible when comparing a neighbourhood florist with an online service.

Check the full total with delivery, vase, card and any other extras before confirming. Poczuj's terms say product prices include VAT but delivery costs may be added. Kwiaciarniaonline's terms also distinguish the product price from possible delivery charges. These examples show why a bouquet's headline price is not necessarily the amount you will pay for it to arrive.

Keep a copy of the selected product, size, description and any special agreement. If a particular flower or colour is essential, put that requirement in writing and ask whether the florist can accept it. Do not assume a free-text request has changed the contract merely because the website lets you type it. An answer confirming the requirement is more useful than a checkout note alone.

Ask how substitutions work

Flower availability can affect the final arrangement, so read the actual seller's substitution policy. Kwiatowa Dostawa's published terms allow some flowers to be replaced when the local partner lacks them. The stated replacement should have the same or higher value and be as close as possible to the original. That is this operator's wording, not a universal rule for Polish florists.

If substitutions would defeat the purpose of the gift, ask about them before placing the order. You might accept a similar seasonal bouquet within a colour palette but not a change to a specific flower requested by the recipient. Ask what happens if the florist cannot meet the non-negotiable part: will it contact you, offer another option or cancel? Get that answer while there is still time to choose.

Do not use a substitution clause as a reason to ignore the agreed product description, and do not treat every variation from a photograph as automatically wrongful. Preserve the description and the seller's explanation so that any later complaint can be about the actual agreement. If precision matters more than speed, arranging collection after direct discussion may be a better fit than a last-minute generic order.

Confirm the actual delivery date and time window

A displayed date selector is not the same as a guaranteed arrival at a particular minute. Kwiatowa Dostawa describes its selected delivery window as approximate rather than guaranteed, and its terms distinguish flower deliveries from courier-shipped gifts. Check whether the product you selected is made and delivered locally or sent through a parcel network, particularly if you are adding a separate present.

Check the cutoff, payment requirement and postcode coverage for your chosen order. Poczuj says fulfilment follows payment being credited. Kwiatowa Dostawa also links its delivery arrangements to successful payment and gives different conditions for different days. Do not assume pressing the order button is enough to reserve same-day delivery if payment or confirmation is still outstanding.

If the flowers must arrive before someone leaves work or before a ceremony, say so explicitly. Ask whether the service can meet the deadline, not simply whether it offers delivery that day. If it cannot confirm a suitable arrangement, choose a different delivery plan or collect them. Keep the accepted date and window in the order confirmation rather than relying on a general advertising banner.

Use a complete recipient address and a workable handover plan

Check the recipient name, city, postcode, street, building and apartment number. Keep billing details separate from the delivery details, especially when you are paying from abroad. Kwiaciarniaonline's ordering instructions specifically distinguish delivery to the buyer from delivery to a third person. Read the final summary carefully so your own address has not been copied into the recipient field.

Give a contact number that can actually help the delivery, subject to the seller's requirements. A surprise does not justify inventing a number or leaving the driver unable to reach anyone. Kwiaciarniaonline says that, without a recipient telephone number, it makes one delivery attempt and may return the flowers to a collection point if nobody is there. A further delivery can require another charge under its terms.

For an office, hotel or managed building, check the reception arrangements. Confirm whether somebody may accept the flowers and how the recipient will be told. Do not assume reception has agreed to store a perishable delivery or that a driver can enter a private building. Share the minimum access information needed, and avoid putting permanent door codes into a public card message or product review.

Write the card separately from delivery instructions

Decide the card text and signature before checkout. Read the spelling, names and Polish characters once more in the order summary. If the sender's name should appear, write it explicitly rather than assuming the florist will copy it from billing details. A blank signature field can produce a different social result from the one you intended.

Keep instructions for the driver out of the message meant for the recipient. Put the delivery contact, workplace details or request to call ahead in the appropriate field. If you need a change after ordering, contact the seller promptly and wait for confirmation. Interflora's terms say changes such as the address, card text, delivery date and recipient depend on its confirmation that the change is possible.

Find out what happens if nobody accepts the flowers

Read the failed-delivery terms before paying, not after a recipient misses the doorbell. Kwiatowa Dostawa describes an attempt to contact the recipient, return to the florist if delivery cannot be completed, and options for another paid delivery or collection. Kwiaciarniaonline also describes return to a collection point in specified circumstances. Do not assume every service leaves flowers with a neighbour or offers free redelivery.

Ask what you should do if the recipient's plans change. A confirmed change is different from sending an unanswered email while the order is already being prepared. Keep the seller's response and any revised cost. If the seller contacts you about a delivery problem, respond through the verified order channel rather than following an unfamiliar payment link without checking it.

When the delivery is marked complete, check what that confirmation means. It may establish a handover without proving that the recipient personally opened the flowers or liked the arrangement. If a reception desk accepted them, make sure the recipient knows where to collect them. Avoid turning a surprise into a search through several buildings because the delivery address was incomplete.

Changed your mind is different from a defective delivery

Do not assume the usual online cooling-off period lets you return fresh flowers simply because plans changed. UOKiK lists rapidly perishable goods or goods with a short usable life among exceptions to withdrawal rights. Poczuj and Kwiatowa Dostawa explicitly apply the perishable-goods exception to cut flowers in their terms. Check the actual product and cancellation arrangement before ordering.

That does not mean you have no route when the order is wrong or the flowers arrive in poor condition. Poczuj separately provides a complaint process, and Interflora's terms discuss complaints about freshness and conformity with the order. A seller's voluntary freshness promise should not be confused with the complete set of applicable consumer rights. Some published florist terms cite older legal wording, so they are not a substitute for current legal advice.

Photograph the flowers, packaging and any damage promptly, and retain the order description and delivery time. Explain what is wrong and what outcome you are requesting through the seller's complaint route. Do not wait for a short-lived product to deteriorate further before documenting it. If the dispute remains unresolved, UOKiK says local consumer ombudsmen offer free legal advice and help drafting complaints.

A good order needs a clear product brief, an agreed budget, a realistic delivery window and someone able to receive it. Confirm those four things before paying. The flowers can still be a surprise; the address, substitutions and failed-delivery costs should not be.

Frequently asked questions

What is a florist called in Polish?

Kwiaciarnia means florist. Kwiaty z dostawą means flowers with delivery. Describe the occasion, recipient preferences and type of arrangement rather than relying on a photograph alone.

Is same-day flower delivery guaranteed?

Not automatically. Check the actual postcode, selected date, cutoff, payment confirmation and accepted time window. A general same-day banner does not settle a specific order.

Will the bouquet look exactly like the photograph?

Check the chosen size, description and substitution policy. Some florists permit replacements when flowers are unavailable. Ask for confirmation before paying if a particular flower or colour is essential.

Can I return fresh flowers because I changed my mind?

Do not assume a standard online cooling-off right applies. UOKiK lists rapidly perishable goods among withdrawal exceptions, and the example florists apply this to cut flowers. Defective or incorrect goods are a separate complaint question.

What should I do if the flowers arrive damaged?

Photograph them promptly and keep the product description, order confirmation and delivery details. Contact the seller through its complaint route. A local consumer ombudsman can help with an unresolved dispute.
