e-Doręczenia in Poland: official e-mail, mObywatel and 1 Oct 2026
Short answer: e-Doręczenia is Poland's state system for official electronic letters. It is optional for private persons, works in the mObywatel app, and is mandatory for entrepreneurs from 1 October 2026.

Official letters in Poland are moving from paper and ePUAP to e-Doręczenia, a state electronic delivery system. For private persons it is optional, but the Ministry of Digital Affairs says it has been the main way for offices to contact citizens since the end of 2025. From 1 October 2026 every business owner must also have an e-Doręczenia address. This guide explains what the system is, how it works in the mObywatel app, and what is new for entrepreneurs. Status as of 15 October 2026.
What e-Doręczenia is
According to the government, the system lets you send and receive official correspondence with offices, institutions, companies and other bodies that use it. To use it you need an address for electronic delivery (ADE, adres do doręczeń elektronicznych) and an active e-Doręczenia mailbox. The government portal says setting up the mailbox is free and done online, and that it must be activated to be legally effective.
A legal-information page of 12 October 2026 by a Warsaw law firm notes that at the end of 2025 the transition period ended, so e-Doręczenia became the basic way offices communicate electronically with citizens and firms, unless special rules require another form, and that the "fiction of delivery" for letters sent to citizens through ePUAP stopped applying. This is a lawyer's summary rather than an official text, so check the act on electronic delivery for your own case.

For private persons
The Ministry of Digital Affairs wrote in June 2026 that the obligation to use e-Doręczenia covers mainly public bodies, institutions and many groups of entrepreneurs. Since the start of 2026 citizens are encouraged to set up a mailbox, but for private persons it is not compulsory.
From July 2026 the service is available to all users of the mObywatel app, according to a government notice of 30 June 2026. Tap the envelope icon at the top right of the screen. In the mailbox you can read and send messages, get confirmations, add attachments, create drafts, and search correspondence and recipients. The "personal mailbox" in mObywatel serves both people with an e-Doręczenia address and users of the ePUAP mailbox. The ministry says it is available to adult users who have mDowód added in the app.
The first time you open the mailbox, you agree to pass data to Poczta Polska, the operator designated to provide the public service. The app checks whether you already have an ADE. If not, you can create one on gov.pl through a link in the app.
For entrepreneurs
The Ministry of Development and Technology wrote on 15 September 2026:
- From 1 October 2026 every entrepreneur must have an e-Doręczenia address. Those already in business had to create it by 30 September 2026. After that date, with every change of an entry in KRS or CEIDG, the e-Doręczenia address data must also be given.
- A new business gets the address during registration. After filing, remember to activate it using the link sent by e-mail.
- From 1 November 2026, an application to start a business in CEIDG can be filed only electronically, except when a minor starts the business. This can be done through Biznes.gov.pl, the mObywatel app, banks and platforms that support entrepreneurs.
Why it matters if you are an expat
- Offices can send you official letters electronically. The lawyer page cited above says it is worth setting up an address so you do not miss official letters. If you already have a mailbox, check it regularly.
- If you run a one-person business in Poland, the 1 October 2026 deadline applies to you.
- Keep an eye on a valid e-mail address so you receive activation links.
